COS allows you to create campaigns that can sync the results to VAN, as well as pull down VAN survey questions and data exports. Furthermore, you can add activist codes to any survey result response, regardless if they are a VAN response or custom responses.
You will need to request a Call Server API Key to VAN before you begin. This is your digital encryption key so please keep in a safe place. Once in COS, it's encrypted for safety.
Once you have a VAN key you'll need to give yourself access to your folders. To do this, click on Edit Folder at the top right corner when you are in the folder. Then add CallServer API in the bottom box named User Access.
- Add your VAN API key to COS
- Under Management / Settings, you can add a VAN key. If a VAN Key is present in the system settings, all projects will use this key system wide unless a Client or Sub Client key is present.
- Under Management / Client, you can add a VAN key to a specific client. If a VAN key is present in the Client, it will over ride the system key and instead use the client's key.
- Under Management / Sub Client User, you can add a VAN key to a client's sub-client. If a VAN key is present in the Sub Client User, it will over ride both the client and the system key and instead use the Sub Client's key.
- Create a New Project in COS. Many articles exist in this knowledge base. Here's a few common ones. *Be sure to use Step 3 below to load VAN data.
- Load campaign data to COS
- Choose the file processing
- COS File - this is the standard load option and DOES NOT sync to VAN
- VAN File My Voter Data - use this option to upload a CSV from your computer
- VAN File My Campaign Data - use this option to upload a CSV from your computer
- VAN Pull My Voter Data - use this option to pull an export from your VAN account
- VAN Pull My Campaign Data - use this option to pull an export from your VAN account
- If VAN Pull, then select the folder and file name you desire
- Choose the file processing method
- Confirm the phone and name columns are selected
- Select the VAN ID column in your data
- Upload Data & Scrub as needed
- Choose the file processing
- Confirm Status Codes are Mapped Properly
- Edit PO / Status codes
- Confirm Dialer Status codes are mapped properly to the VAN status codes
- Note that you can set certain status codes to "Do Not Report" if you do not wish to report a specific status code
- Edit VAN settings
- Edit PO / VAN
- Choose the Van Contact type. Typically it's Phone or Text
- Select the Van Push Mode
- "As Coded in Campaign Data Only" is the default mode and recommended. This pushes the flat file (included Canvassed and non-canvassed records) as found in COS Dashboard / Campaign Database / Download Campaign Data
- "As Coded + Call Records" will also push non-Canvassed multiple attempt records; for example if the record was a Not Home 3X in one day.
- Select the Van Household reporting for Non-Canvassed codes
- You can update just the marked voter
- Alternatively, you can mark all voters in the household
- *Canvassed records are always updated to the marked voter and unaffected by this action
- Add VAN Survey Questions to the script
- Goto Script and Edit the script
- In any question choose the Import VAN button
- A window appears with your My Data/My Campaign Survey questions from VAN
- Choose the survey question you want and review before import to the script
- Once imported to the question, you can edit descriptions as well as add additional responses, set script branching logic and other COS scripting features
- Add Activist Codes to script responses
- Select the "options" drop down on the question response
- Click +Add Activist to add an activist code to that response
- A window will appear where you can select your activist codes
- The activist codes are assigned to response you chose. You can delete by choosing the options dropdown and clicking the trash can next to activist code.
- Push Results to VAN (Once calling is done)
- Go to Campaign Data / VAN Push Results
- Select the date range for the push
- Push Results. The progress bar will indicated the updates
